Privacy policy

Last updated: 13 August 2026. Pulse Vault Wave Pte. Ltd. (“we”, “us”, “our”) operates pulsevaultwave.life. This policy explains how we collect, use, store, and protect personal data when you visit our portal, contact us by email, or visit our office at 35 Kerbau Road.

We are committed to handling personal data in accordance with the Personal Data Protection Act 2012 (Singapore) and applicable subsidiary legislation. This policy applies to all personal data we process in connection with the portal and our editorial operations.

1. Data controller

2. What data we collect

Contact correspondence. When you email us, we process your email address, name (if provided), message content, and metadata (timestamp, subject line, attachments if any). This is necessary to respond to your enquiry, process correction reports, or route desk-specific queries.

Telephone contact. If you call us during office hours, we may log the caller number, time of call, and summary notes for follow-up. Calls are not routinely recorded.

Office visits. Visitors to the print room may be asked to sign a simple visitor log with name and purpose of visit. Logs are retained for ninety days for security purposes.

Cookie and consent data. We store your cookie preferences in a first-party cookie and local storage mirror. See our Cookies page for categories, durations, and controls.

Server logs. Our hosting provider logs IP addresses, browser type, operating system, referring URL, requested pages, and access timestamps for security and troubleshooting. Logs are retained for ninety days then deleted.

Analytics (optional). If you consent to analytics cookies, we collect anonymised page-view data, navigation paths, and device type aggregates. No cross-site tracking or advertising profiles are created. Analytics data is not linked to your email correspondence.

3. Legal bases for processing

  • Legitimate interest: operating the portal, responding to correspondence, maintaining security logs, publishing corrections, and protecting our editorial archive.
  • Consent: functional cookies (maps) and analytics cookies, which you may withdraw at any time via the cookie banner or Cookies page.
  • Contract: where you subscribe to paid archival services, processing necessary to fulfil the subscription agreement.
  • Legal obligation: responding to valid requests from Singapore authorities when required by law, including PDPC directions.

4. How we use your data

We use personal data only to:

  • Operate and secure the portal.
  • Respond to reader correspondence and correction reports.
  • Route desk-specific queries to the appropriate editor.
  • Maintain editorial records and the corrections register.
  • Improve site structure when analytics consent is given.
  • Load embedded maps when functional consent is given.
  • Comply with legal obligations.

We do not sell personal data. We do not use personal data for automated decision-making or profiling. We do not share correspondence with third parties for marketing purposes.

5. Data sharing

We share data only with:

  • Our hosting provider in Singapore, under data processing agreements requiring appropriate safeguards.
  • Google Maps, if you consent to functional cookies and load an embedded map. Google’s processing is governed by Google’s privacy policy.
  • Analytics provider, if you consent to analytics cookies, under anonymisation requirements.
  • Professional advisers (legal, accounting) bound by confidentiality when necessary.
  • Legal authorities, when required by valid Singapore law or court order.

We do not routinely transfer personal data outside Singapore. Where Google Maps or analytics services process data on servers located abroad, we rely on standard contractual clauses and provider commitments. You may contact us for details of safeguards applied.

6. Retention

  • Email correspondence: three years from last contact, then securely deleted.
  • Internal proofs with source annotations: twelve months, then shredded.
  • Published articles: retained indefinitely in the back-issue archive (generally without reader personal data).
  • Server logs: ninety days.
  • Visitor logs: ninety days.
  • Cookie consent records: duration of consent cookie (one hundred eighty days), unless you clear cookies sooner.
  • Subscription records: duration of subscription plus seven years for accounting compliance.

7. Your rights under PDPA

Under the Personal Data Protection Act 2012 (Singapore), you may:

  • Request access to personal data we hold about you.
  • Request correction of inaccurate or incomplete data.
  • Withdraw consent for optional cookies at any time via the cookie banner or Cookies page.
  • Request deletion where we have no overriding legal basis to retain.
  • Request information about how your data has been used or disclosed in the past year.

Contact [email protected] with your request. We respond within thirty days. We may request reasonable identity verification before fulfilling access requests.

If you are unsatisfied with our response, you may lodge a complaint with the Personal Data Protection Commission (PDPC) of Singapore.

8. Children

Our portal is not directed at children under thirteen. We do not knowingly collect data from children. Our Schools desk excludes student identifiers from published content. If you believe we hold a child’s data in correspondence or logs, contact [email protected] for prompt deletion review.

9. Security measures

We implement appropriate technical and organisational measures including HTTPS encryption, access controls on editorial systems, staff training on data handling, and secure deletion of proofs and logs per retention schedules. No method of transmission over the internet is fully secure; we mitigate risk through data minimisation, retention limits, and restricted access.

10. Data breach notification

In the event of a data breach likely to result in significant harm, we will notify affected individuals and the PDPC as required by law, and describe steps taken to mitigate harm.

13. International visitors

Our portal is hosted in Singapore and primarily serves Singapore residents. If you access the portal from outside Singapore, you acknowledge that your data may be processed in Singapore and that Singapore law applies to this policy.

14. Automated collection

We do not use personal data for automated decision-making, credit scoring, or employment screening. Server logs are reviewed manually for security incidents, not for profiling individual readers.

15. Correspondence retention detail

Correction reports and source tips are retained with the same three-year schedule as general correspondence because they may be referenced in fix notices or held-item resolutions. If you request deletion of correspondence that has been cited in a published fix notice, we retain only the minimum extract needed to explain the correction.

16. Staff access controls

Only staff with editorial or technical need may access correspondence and logs. Access is revoked on role change or departure. Staff receive annual data protection training covering PDPA obligations and secure handling of reader emails.

17. Marketing and newsletters

We do not send unsolicited marketing email. If you subscribe to desk summaries or archival alerts, we process your email address solely to deliver the service you requested. You may unsubscribe via the link in each message or by emailing [email protected].

18. Public interest and journalism

Where personal data appears in published articles, it is limited to what is necessary for accurate municipal reporting — for example, a named town council spokesperson on the record. We do not publish private residential contact details. Individuals who believe they appear in published content without appropriate basis may contact us for review.

20. Changes to this policy

We update this policy when practices change. Material changes are noted on this page with a revised date. Where changes affect optional cookie processing, we may request renewed consent. Continued use after non-material changes constitutes acceptance of the updated policy.

21. Third-party processors

We maintain written agreements with hosting and email transport providers requiring them to process personal data only on our instructions and to apply appropriate security measures. Processors may not use reader data for their own marketing or analytics unrelated to portal delivery. We review processor practices annually and replace providers that fail to meet our standards.

22. Research and archival requests

Researchers requesting bulk access to index cards or correspondence metadata must submit a written scope to [email protected]. We assess each request against PDPA purpose limitation and editorial confidentiality. Approved research access is logged; published research citing our archive must link to the relevant back-issue entry.

23. Complaints to the PDPC

If you are dissatisfied with our response to a privacy request, you may lodge a complaint with the Personal Data Protection Commission of Singapore. 24. Version history

This policy was substantially reviewed on 13 August 2026 to reflect current cookie mechanics, print-room visitor logs, and correspondence retention. Previous versions are available on request for comparison. We do not maintain a public diff archive, but we can supply the prior text by email when you provide a reasonable date range.
